Department Guest

An invited guest includes vendors, business associates, guest speakers, contractors, and repair or service providers. Departments are responsible for ensuring their guests have the appropriate parking permits and understand all applicable parking rules.

Departments can purchase the following permitsfor invited guests:

  • Central Campus Daily
  • Faculty Staff Daily 

Permits are valid for one day only. 

Permit details

  • Permits are activated by clearly scratching off the month, date, and day.
  • All scratch-off hangtags are non-refundable; all sales are final.

  • Permits are available only for departmental use and are not sold to individuals.

  • There is no purchase limit; however, departments should buy only what they can reasonably use over several months and replenish as needed.

Providing Permits to Guests

After purchasing permits, departments may distribute them using one of the following methods:

Option 1: Provide the Permit in Advance

  • Give the permit to your guest before their arrival.

  • Include instructions on where and how to park.

  • Guests do not need to check in at a kiosk.

Option 2: Drop Off the Permit at a Gate Kiosk

  • Drop off the permit at the East or West Gate Kiosk on the day of or the day before the visit.

  • Include the following:

    • Guest’s name

    • Your name

    • Your phone number

    • A self-addressed campus-mail envelope with your mail code

Important notes
  • Unclaimed permits are returned to the Parking & Transportation office and mailed back to the originating department within two business days.

  • Kiosks do not hold permits over the weekend.

  • If a guest arrives before receiving their permit, they may request a 20-minute temporary guest pass from the East or West Gate kiosk to allow time to retrieve the permit.

Rules and Regulations

  • Departments may either:

    • Cover the cost of the invited guest permit, or

    • Advise the guest to purchase public parking upon arrival using cash at a parking machine.

  • Departments may purchase invited guest permits in advance and in any quantity.

  • Due to limited campus parking:

    • Parking authorization is limited to a maximum of 10 invited guest vehicles per department per day.

    • Parking for more than 10 vehicles must be coordinated through the Special Events department.

  • Guest visits are strongly recommended during early morning or late afternoon hours and not during peak parking times.

Conditions of Use

Invited guest permits:

  • May be used only for departmental visitors

  • May not be used for special events

  • May not be issued to employees or students for personal or commute parking*

  • May not be duplicated, altered, or misused

Misuse of a permit may result in a citation and/or revocation of parking privileges.

The purchasing department is responsible for proper use of all invited guest permits until they are returned to Parking & Transportation or expire.

* UC policy prohibits departments from purchasing employee parking permits with University funds (Campus Administrative Memo: Limitation on Use of Funds for Parking, 9/5/00). Paying for an employee’s parking constitutes additional compensation and may violate federal and state tax laws if not properly reported.
