Special Event Parking

Introduction

A “Special Event” is an event for which reserved parking for 10 or more vehicles is needed, such as a wedding, conference, concert or athletic event.  Most Special Events are best held either Monday through Friday after 5:30pm or on weekends when campus parking is more readily available.

Organizers of Special Events must pre-arrange parking needed with Parking & Transportation’s Event Services unit. Special Event Parking Policy and procedure is outlined on this page. Having advance notice of your special needs will allow us to provide your guests with convenient parking. Please note that specific parking areas requested may not be available. Depending on your parking needs, staffing and service costs may be assessed.

When attending a Berkeley campus event not listed above, you may call the Special Events office, (510) 642-5401, to check on parking availability for that event.

If visiting campus as an invited guest, see the Invited Guest page for a link to instructions on how to obtain and use an Invited Guest permit. Invited Guest permits cannot be used for Special Events.

Campus parking permit holders occasionally may have to be redirected to other parking areas when a parking lot has been reserved for a special event. Lot access updates will be posted under Access Bulletins on our homepage.

Special Event Parking Policy and Procedure

Making Special Event parking reservations

When planning a Special Event, department organizers can download and complete the Special Event Parking Arrangements Form (112 Kb, PDF)and send the completed form with signature via fax to (510) 643-8892. You can also fill out the form online and email it without a signature to Event Services at eventprk@berkeley.edu. Event Services will acknowledge your request upon receipt and a confirmation will be faxed once your request is processed and signature received. The event confirmation will include the total costs for the services requested or required. If you should have any questions or would like to know the status of your request, you may contact Event Services at (510) 642-5401. Event Services staff will discuss parking options for your event guests and update you on parking availability.

Additional services available for Special Event parking:

Reserved parking spaces and permits for each vehicle. 

Signs – Basic signs to advise guests and notify the campus community of the specific events, and signs for reserved spaces are available.  Special signs can be provided at an additional cost.

Parking Attendants – Parking attendant services are required for events with 30 or more vehicles. They are also available if requested.  Attendants are stationed at designated entrances to reserved parking lots or structures, and issue parking permits to guests, assist with directing traffic into areas, and provide direction or special instructions to event attendees. 

Stack Parking Attendants – Contracted parking attendants may be necessary to park overflow vehicles in certain lots or in structures with space limitations. One attendant is required for every 20 vehicles to be stack-parked. 

Traffic Control – Parking Enforcement Officers may be assigned to expedite traffic flow for large or complicated Special Events.  Parking & Transportation will notify you if we believe traffic control is required, and advise of the additional charges.  If you request traffic control, it must be made at least one week in advance.

Fees and payment 

*Late fees may be applied when proper notification is not provided in advance. 

Advance payment is required before services are rendered for events not sponsored by a UC Berkeley Department

Payment options – Service charges may be paid through UC Berkeley Intercampus Charge (IOC), cash, or check.

Cancellation – It is sometimes necessary to cancel an event. Any event for which we have arranged parking that is cancelled with less than 4 business days notice is subject to a $75 cancellation fee at minimum. Depending on the nature of the parking arrangements in place, other applicable service charges may also be assessed.
